
How to Streamline Office Communication

Step 1
Install technologies that improve communication. For example, set up instant messaging so office members can communicate more quickly
and efficiently, and do so at their desks while performing other tasks. Install phone headsets so workers can take calls and have their hands free for other tasks.
Step 2
Install desks without cubicle walls or with low wall panels if your office currently uses cubicles with high walls. Doing so means adjacent co-workers won’t have to interrupt their work and get up from their desks or use the phone to communicate with one another. If the open space is too noisy for certain types of work, recycle the cubicles by setting them up in a separate area for private conversations and meetings.
Step 3
Use wall files and labels to help reduce clutter and organize communications. For example, set up a five-pocket vertical wall file system. Label each pocket with the day of the week so everyone can access daily assignments or file end of day reports in one place. You can also set up a vertical wall file for documents and communications for specific office members or projects.
Step 4
Invest in systems that improve communication between workers in different offices or locations. Install teleconferencing video cameras and displays, electronic whiteboards and Wi-Fi. Sign up for Web-based document sharing and storage services such as Google Docs, Zoho and Feng Office.
Step 5
Change email procedures to reduce miscommunications and make reading and searching emails faster. Ask office staff to make subject lines and messages short and specific. For example, write two emails with two subject lines for two unrelated topics instead of discussing both in one email.
